E-Way Bill Pin to Pin Distance: Motorable Road Rules, 10% Limit & How to Calculate

Learn how the E-Way Bill portal estimates PIN-to-PIN distance, its 10% entry limit, validity periods, and correction steps. Taxzentic’s calculator is estimate-only.

An e-way bill’s validity depends on the transport distance recorded for the consignment under Rule 138(10) of the CGST Rules. The E-Way Bill portal can pre-fill an estimated PIN-to-PIN motorable distance. That portal estimate and the route a vehicle actually takes are not necessarily identical.

The official E-Way Bill portal provides its own PIN-to-PIN distance estimate and validation messages. Use the value and current instructions shown in the portal when preparing an e-way bill. Taxzentic’s calculator uses approximate PIN-circle calculations; it does not connect to the NIC database or a live road-routing service and can be substantially inaccurate.

This guide separates the portal’s distance-entry checks from the statutory validity rule and explains what to do when the portal has no PIN-pair distance available. Our Pin-to-Pin Distance Calculator is for preliminary planning only; it cannot generate or validate a compliant e-way bill.

What does PIN-to-PIN distance mean for an e-way bill?

The E-Way Bill System’s published help material describes the portal’s PIN-to-PIN distance as an estimated motorable distance based on the dispatch and delivery PIN codes. It is not a guarantee of the route actually taken by a vehicle.

For an e-way bill, enter the distance for the consignment’s movement and follow the official portal’s displayed value and validation messages. The distance recorded in the e-way bill is used to calculate validity under Rule 138(10).

Do not use the result from our estimate tool as the official distance or validity for an e-way bill. Use the free Pin-to-Pin Distance Calculator only for an early planning indication, then verify the route and portal value independently.

Portal distance checks and the 10% entry limit

The E-Way Bill System’s published FAQ says a user may enter the actual movement distance, subject to a portal validation limit of up to 10% above the system’s PIN-to-PIN estimate. For example, if the portal shows 500 km, its published FAQ says an entry up to 550 km is allowed. The system’s API documentation also describes distance validations and cases where a PIN-pair distance is unavailable.

This is a portal input-validation rule. It is not a general statutory ±10% tolerance, does not make a rough third-party estimate acceptable, and does not guarantee that an officer will accept a distance that does not reflect the movement. Follow the live portal’s current value, alerts, and validation messages. Do not use Taxzentic’s estimate as a justification for changing the official figure.

If the portal reports that a PIN-pair distance is unavailable, the E-Way Bill System’s published guidance places responsibility on the bill generator to provide the correct distance. Determine the actual movement distance from the shipment details and a suitable route source; the Taxzentic heuristic is not accurate enough for this compliance decision.

E-way bill validity by distance

Under Rule 138(10) of the CGST Rules, validity is based on the transport distance recorded for the e-way bill. The standard distance slabs are:

Cargo categoryDistanceValidity
Normal cargoUp to 200 km1 day
Normal cargoEach additional 200 km or part1 additional day
Over-Dimensional Cargo (ODC), or a specified multimodal shipment with a ship legUp to 20 km1 day
Over-Dimensional Cargo (ODC), or a specified multimodal shipment with a ship legEach additional 20 km or part1 additional day

For example, a recorded distance of 401 km falls into three 200-km slabs (the first 200 km, then each additional 200 km or part), giving three days for normal cargo under this rule. The official system determines the bill’s validity and expiry from its entries. Our E-Way Bill Validity Calculator illustrates the distance arithmetic when you enter a distance; verify the official bill’s validity in the portal.

Common PIN-to-PIN distance issues

The PIN-pair distance is unavailable

The E-Way Bill System’s published API guidance says it may return an alert when a PIN-pair distance is unavailable and that the bill generator must provide the correct distance. Check the message in the current portal workflow and determine the distance for the actual movement. Do not substitute the Taxzentic estimate.

A PIN code is rejected

Check the dispatch or delivery address and PIN against the shipment documents and an authoritative postal reference. Also verify that the state selected in the e-way bill matches the address. A PIN’s first digits are not a substitute for validating the full address and state combination.

The e-way bill is nearing expiry

In exceptional circumstances, the transporter may request an extension through the portal, updating Part B when required and providing the reason and current movement details. Confirm the current extension window and instructions there; an extension is not automatic.

If an e-way bill contains an error after submission, the official portal FAQ says it cannot be edited. It may be cancelled and regenerated with correct details, subject to the portal’s cancellation rules and the restriction on cancellation after the bill has been verified in transit. Do not rely on an estimate to avoid correcting an incorrect bill.

Before dispatch

  1. Check whether an e-way bill is required, including applicable exceptions and state-specific rules. Our E-Way Bill Limit Checker is a reference aid; verify the current rule for the movement.
  2. Use the distance and validation information provided by the official E-Way Bill portal. Do not use the Taxzentic PIN-to-PIN calculator as the official route or compliance value.
  3. Check the parties and shipment details against source documents and current portal requirements. A GSTIN format checker cannot confirm live registration status.

Frequently Asked Questions

E-way bill me PIN-to-PIN distance available na ho toh kya karein?

Official portal ki current alert aur instructions follow karein. Portal ki published guidance ke mutabik, PIN-pair distance unavailable ho to bill generator ko correct distance deni hoti hai. Taxzentic ka rough estimate NIC database ya live road route se nahi aata; compliance ke liye iska use na karein.

Is the portal’s 10% entry limit a legal tolerance?

No. The E-Way Bill System’s published FAQ describes an input-validation limit of up to 10% above its own estimated distance. It is not a general statutory ±10% safe harbour. Enter the movement distance and follow the portal’s current validation messages.

Can a minor PIN-code error automatically lead to detention?

CBIC Circular No. 64/38/2018-GST describes limited cases where proceedings under Section 129 may not be initiated despite minor errors, including a PIN error where the address is correct and the error does not increase e-way bill validity. The circular also refers to a penalty under Section 125 for the listed cases. This is not a blanket guarantee for distance errors; the facts and current law matter.

How is e-way bill validity calculated?

Rule 138(10) generally gives one day for up to 200 km for normal cargo, then one additional day for each further 200 km or part. For ODC and specified multimodal shipments involving a ship leg, the first slab is 20 km and each additional 20 km or part adds one day. Use the distance recorded in the official system and check the expiry there.

Does Taxzentic calculate the NIC portal’s distance?

No. Taxzentic uses a rough PIN-circle heuristic. It does not query the NIC distance database or live road-routing data, so its result can differ substantially from the portal’s value and the route travelled.
